SOMERSET WOMENS' COUNTY INDOOR BOWLING ASSOCIATION

 

Minutes of the Council Meeting held on 16th January at North Petherton IBC at 6:00pm

Minutes of the Council Meeting held on Tuesday 26th September 2023 at North Petherton IBC at 6:30pm were agreed and signed as a true record by K Warner

 

Matters arising

 

Wiltshire game. It was noted that we had agreed to cancel if we couldn't get a home fixture. Unfortunately G Jones was unable to get a home location – this will be planned early for next season. Although we acknowledge that Wiltshire do not seem willing to play away it is recognised that we have encouraged more new players this year. We currently have 17 players interested (online) so far so we will see how it goes. It is noted that if we manage to get a home fixture organised for next year and Wiltshire cancel again, then we will forgo this in future.

 

Correspondence - None

 

Secretary's report

K Warner reported that things are still progressing. Mistakes are being made (but noted) so hopefully will run smoother in future. Post selection for the 9th was difficult as we ran through all of the reserves and had to add more. So we need to look at numbers of reserves in future (especially post Christmas)

 

Treasurer's report

 

Atherley badges are on order and will be delivered in February.

Annual Luncheon is there as we had to pay a deposit – the first time this has happened.

Interest on HSBC Account of £75.55

Coaches cost £2330 and we are not getting this back through fees. Apparently Taunton School hire out their coach (with driver) so worth looking into this for the future Action GJ.

Action LD to add Assets to report (c/f) £1094.

 

Fixture Secretary's report

 

Dorset are top of the League, Somerset are last. League results will be updated on the website.

Friendly v Patrons on 28th January at Taunton – currently SCIPA have only 4 names down for this fixture. Possibility that they will cancel. Action GJ to follow up with P Staddon. We could change this to playing ourselves.

 

President's Day. Still no feedback from Taunton Deane to find out a suitable date. (post meeting – some dates have been forthcoming, President Val will pass on to G Jones)

 

Competition Secretary's report

 

Finals will be on 16th & 17th March. Yet to confirm location as prefer neutral ground for Finalists. Yeovil has been provisionally booked in a.m. N. Petherton is available on Sunday. Minehead also a possibility.

 

Pairs and Triples competitions all up-to-date.

Double Rink first round due by 21st January.

 

U25 Manager's report

 

In the Under 18 Internationals, Madison King represented England, who came second overall, with Scotland just beating them. We also have Imogen Cracknell playing for England in the Under 25 in Belfast next month. Somerset Juniors are still involved in the Under 18 National Triples and the Under 25 National Fours. Triples next Sunday at Bristol Indoor against Gloucester.

 

Currently the Juniors all wear the Men's SCIBA shirt so P. Bissett asked whether we could provide a SWCIBA pin badge for the girls. Louise said we had some Action LD to find out how many we have in stock.

 

P Bissett also asked if the Ladies would consider giving £100 at the start of next season, He is going to ask the men as well. The £5 collected from the Juniors before each game often doesn't cover the cost of the game, especially when an Umpire and food is involved.

Action KW to talk to P Bissett as this needs to be a Proposition to the AGM.

 

Optika Competition

 

It is proposed to bring this competition back for next year. The format is Pairs, Triples and Fours on a knock-out basis. Need to consider new name / trophy. G Jones happy to incorporate with the other Competitions. Action AM to hand-over Competition information to G Jones and bring old Trophy to next meeting so we can look at it. Do we limit to one entry per club ?

 

Carnmoggas Venue

 

Feedback from the January game is that 90% of players say they won't play there again. It was cold, damp and damaged. This is the only 6-rink venue Cornwall have. There is a half hour minimum travel time between locations if we play at split venue (Bodmin, Caradon, Newquay, Veryan).

It was noted that Dorset v Cornwall is being played at Taunton Deane both times. We should suggest that we meet halfway at a neutral venue for next year. ISCA, Plymouth both possibilities. Action GJ to follow up with Cornwall.

 

Annual Luncheon

 

Wednesday 24th April, lunch commences 1pm. £25 per head. Forms will be sent out in February, just need to add another option for the main course. SCIBA President and partner to be invited. Raffle Prizes.

 

AGM

 

Any rules or constitution changes need to be brought as a proposition to the AGM. Changes need to be documented and presented to the next Council meeting for approval to present to the AGM

 

Rules

It was agreed that Double Rink to remain as 21 ends, Pairs at 21 ends and Triples at 18 ends. Time limit to be removed as in practice, 4 hours are usually booked. (Post meeting note – this may need to include Optika rules too)

Action GJ to amend document for presentation to next meeting

Safeguarding

We need to have a designated Safeguarding Officer (who covers all members). We will still keep the Child Protection Officer (U25 Manager). We have someone who is willing to take on the safeguarding role in the interim – B Colby.

Action KW to amend Constitution for presentation to next meeting

 

Secretary

The split of the Hon. Secretary and Fixtures Secretary needs to be formalised in the Constitution. Although not clarified previously, the League Secretary is a role which formalises when Somerset take their turn in charge of the League and in other years, represents Somerset's liaison with the other Counties.

Action KW to amend Constitution for presentation to next meeting

AOB

 

League

In the past there was a SWILL league which encouraged the smaller clubs to enter. This was based on a double rink (one home and one away) basis. Depending on interest this could be run as North/South League. J Murrell is happy to organise.

Action ALL DELEGATES to seek feedback on whether their club would be interested and report back to next meeting

 

GDPR

It was raised whether each player needs to sign a GDPR form. These used to be used several years ago – one per club. On-line details are only accessible by Administrators (currently L Dewey, K Warner and G Jones).
